No-show cost calculator for clinics, labs and schools

Work out how much missed appointments cost you every month in rupees, how much reminders could recover at a conservative 30 % or 50 % reduction, how many staff hours confirmation calls take, and how many days Appointment Reminder App takes to pay for itself at published prices.

In short: The no-show cost calculator multiplies your appointments per month by your no-show rate and average fee to show the rupees lost each month, then compares what a 30 % or 50 % reduction would recover with the monthly cost of Appointment Reminder App: the plan price, ₹0.115 per WhatsApp message (Meta's rate), ₹0.18 per SMS and ₹3.50 per AI-call minute, plus 18 % GST.

What does the same reminder cost on each channel?

For the appointment volume above, with two reminders per booking, here is what the reminders alone would cost on each channel at Appointment Reminder App's published usage rates (before plan fee and GST):

ChannelRateReminders per monthMonthly cost
WhatsApp (utility template)₹0.115 per message2,080₹239
SMS on a DLT template₹0.18 per segment2,080₹374
AI call (1 minute)₹3.50 per started minute2,080₹7,280

That is why Appointment Reminder App sends WhatsApp first, uses SMS only when WhatsApp fails, and calls only patients who still have not confirmed. Compare the channels in our SMS vs WhatsApp appointment reminders guide.

What if a few patients keep missing appointments?

Reminders recover patients who forget. For the few who miss again and again, a written policy helps: for example, after two missed appointments in 60 days, online bookings need a small UPI advance. Copy our free patient no-show policy template in English, Hindi and Tamil; Appointment Reminder App can count the strikes and apply the rule for you.

How the calculator works (methodology)

  • Lost revenue = appointments per day × working days × no-show rate × average fee. It counts fees only, not the doctor's idle time or the patient's health.
  • Recovered uses 30 % and 50 % fewer no-shows as planning scenarios. They are assumptions for you to test, not results we promise or have measured for you.
  • Staff hours saved assume automatic reminders replace about 80 % of the minutes your staff spend today on confirmation calls.
  • Cost = plan price (Starter for one branch, Growth for up to three, Scale above that, unless you choose) + 3 WhatsApp messages per booking at ₹0.115 + SMS fallback for the share you enter at ₹0.18 + on Growth and Scale, a one-minute AI call for 8 % of bookings at ₹3.50, all plus 18 % GST.
  • Payback = days of recovered fees (at 30 %) needed to cover one month's cost.

Once you are live, replace assumptions with facts: the no-show report in Appointment Reminder App shows your real confirmation and no-show rates by doctor, branch, channel and language. No-show calculator questions

How do I calculate the cost of no-shows?

Multiply your appointments per month by your no-show rate and by the average fee per visit. A clinic with 40 appointments a day, 26 working days, a 12 % no-show rate and a ₹400 fee loses about 40 × 26 × 12 % × ₹400 = ₹49,920 a month in fees alone, before the doctor's idle time.

What is a typical no-show rate for Indian clinics?

It varies widely by specialty, city and how far ahead patients book, and we do not publish an industry figure. Measure your own: count booked appointments where the patient did not come and did not cancel over four weeks. Appointment Reminder App's no-show report does this automatically once you record outcomes.

Why does the calculator use 30 % and 50 % reductions?

They are conservative planning scenarios, not promises. Reminders reduce no-shows mainly among patients who forgot, and confirmations let you refill slots from cancellations. Your result depends on your patients, timing and follow-up, so the calculator shows both cases and you can change them.

What does the reminder cost in the calculation?

The calculator uses Appointment Reminder App's published rates: the plan price (₹2,999, ₹7,999 or ₹19,999 a month), ₹0.115 per WhatsApp message, ₹0.18 per SMS and ₹3.50 per AI-call minute, plus 18 % GST, with the message counts you choose.

Can I save the result?

Yes. Use "Save as PDF" to print the page to a PDF with your inputs and results, or copy the numbers into your own sheet. Nothing you type is sent to our servers; the calculator runs in your browser.
