What rules apply to SMS and WhatsApp reminders?

SMS reminders must follow TRAI DLT registration, and WhatsApp reminders must follow Meta's opt-in and template rules. Both are straightforward for appointment reminders because the content is service, not promotion.

SMS: TRAI DLT

  • Register as a Principal Entity on an operator DLT portal under TRAI TCCCPR 2018.
  • Register a 6-character header (sender ID), for example a short form of your clinic name.
  • Register every template, with each changing value written as {#var#}, for example "Dear {#var#}, your appointment at {#var#} is on {#var#}."

How do Tamil and Hindi reminders affect cost?

Tamil and Hindi SMS cost more because they are sent as Unicode, which fits 70 characters per segment instead of 160. A segment is one billable SMS unit. English text uses the GSM-7 alphabet, where one segment holds 160 characters; any Tamil, Hindi or emoji character switches the whole message to Unicode, where one segment holds only 70 characters, and long messages drop to 67 per segment once split.

A typical Tamil reminder with name, doctor, date, time and address runs 120 to 180 characters, so it becomes two or three segments, or ₹0.36 to ₹0.54 per reminder. On WhatsApp the same Tamil or Hindi text costs one template charge regardless of length, which makes WhatsApp the natural channel for regional-language reminders. Keep a short Unicode SMS version for fallback only.

When should you use SMS and when WhatsApp?

Use WhatsApp for every patient who has it and SMS when WhatsApp cannot reach or has not been read. Specific cases:
