AI communications platform with appointment reminders

One platform: appointment reminders, AI inbox, voice AI and payment recovery

Appointment Reminder App starts with the job that saves the most money, reminding patients of their appointments, and grows into a full communications desk: a shared inbox with an AI agent, AI voice calls, UPI payment recovery, broadcasts and compliance tools. Each feature below is marked live or planned.

In short: Appointment Reminder App is a communications platform built around appointment reminders: WhatsApp and SMS reminder templates, scheduled broadcasts and an API, a shared team inbox with an AI chat agent, an AI voice agent in Tamil, Hindi and English, UPI payment-recovery ladders, missed-call-to-WhatsApp and consent, DND and template tools, for Indian clinics, labs and schools.

Standout 1

Reminders that can become a call

Send the WhatsApp or SMS reminder template on a schedule or by API. When a patient does not respond, your front desk can place an AI call in Tamil, Hindi or English with one click, and a patient who types "call me" gets called back automatically on the Growth plan.

Why it wins: The people who ignore texts are the ones most likely to miss the visit, and a short call in their own language reaches them. Automatic calls to every unconfirmed patient are on the roadmap.

  • Reminder templates by broadcast, API or CSV list
  • One-click AI call from the inbox (Growth and Scale)
  • Automatic per-booking schedules: on the roadmap
📅

Standout 2

Calls and chat in one thread

When an AI call ends, its summary is posted into the same WhatsApp thread as the reminder and the payment link. A chat customer who types "call me" is called back by the AI, and staff see the whole history in one place.

Why it wins: Patients do not have to repeat themselves and your staff see every reminder, reply and call together. In our research, WhatsApp tools did not offer calls and voice platforms did not offer an inbox.

  • Call summary posted into the WhatsApp thread
  • Click-to-call from any conversation
  • One contact record per patient
🧠

Standout 3

Payment requests and a recovery ladder

Create a payment request from the inbox or the API and Appointment Reminder App sends a UPI link on WhatsApp, then an SMS, then an AI voice call, then hands to a human. It stops as soon as the payment webhook confirms payment, skips channels the patient opted out of and never counts a duplicate payment twice.

Why it wins: Fees are collected before the visit and overdue bills are followed up without awkward calls by staff.

  • Deposit or full fee before the visit
  • Stops automatically on payment or opt-out
  • Every step logged per request

Standout 4

Missed-call-to-WhatsApp

Print one number on your signboard, prescription pad or hoarding. A missed call gets an instant WhatsApp reply from your approved template, the caller is added to your contacts with the campaign source, and an AI call-back can follow within minutes.

Why it wins: India's most familiar habit becomes a conversation your front desk can turn into a booking, instead of a note on a pad.

  • Contact created with source and campaign
  • Instant template reply
  • Optional AI call-back (Growth and Scale)
📞

Standout 5

Compliance tools built in

A consent log per contact and channel, STOP and START keyword handling, a DND flag that blocks promotional SMS, DLT template IDs stored with each SMS template, Meta template status and a calling-hour window, on one screen.

Why it wins: Reminders blocked by a carrier or flagged by Meta never reach the patient. The tools keep the evidence; your DLT entity registration and consent wording stay yours.

  • DLT and Meta template status side by side
  • Promotional SMS blocked for DND numbers
  • Consent log exportable for audits
🛡

Standout 6

Voice in Tamil, Hindi and English

The AI voice agent speaks Tamil, Hindi and English with a choice of male and female voices, and starts in the language saved for each patient. Test it on your own phone before any patient hears it.

Why it wins: Patients in Coimbatore, Madurai and Tirunelveli stay on the line when the call sounds local, not like a call centre.

  • Male and female voices
  • Language saved per patient
  • Calls only inside your calling hours

Frequently asked questions

What is live today and what is on the roadmap?

Live today: WhatsApp and SMS reminder templates by broadcast, API, CSV list or inbox; the shared inbox with an AI chat agent; AI voice calls on request, from the inbox and in the payment ladder; UPI payment-recovery ladders; missed-call-to-WhatsApp; consent, DND and template tools. On the roadmap: an appointment calendar with automatic per-booking schedules, SMS fallback, auto-calls to unconfirmed patients and no-show reports.

Which channels can Appointment Reminder App send reminders on?

WhatsApp and SMS for written reminders, and AI voice calls on the Growth and Scale plans. Today you choose the channel for each broadcast or API call, and staff can call any patient from the inbox. Automatic escalation from WhatsApp to SMS to a call for each booking is on the roadmap.

Can patients reschedule from the reminder?

Yes, by replying. A patient who replies CHANGE or asks for another time reaches your inbox; the AI can answer from your timings and hand the request to the front desk, who confirm the new slot. Quick-reply buttons and booking directly into a calendar are planned.

Can a human take over from the AI mid-conversation?

Yes. Any staff member can press Take over on a conversation, and Appointment Reminder App stops AI replies for that patient until it is handed back. The AI also hands over by itself when a patient asks for a human, mentions a refund or uses one of your emergency words.

Does Appointment Reminder App work with my CRM or Google Sheets?

Through the REST API and webhooks today: your system can create contacts, send messages and create payment requests, and receive events back. CSV import and export cover the rest. Native Google Sheets, Zapier, Zoho and HubSpot connectors are planned.
