What should a clinic closed notice include?

A clinic closed notice should tell patients, in one glance, when the clinic is closed, when it reopens, who to call in an emergency and what happens to booked appointments. Everything else is optional. Before you print or send any notice, check it against this list:

• Dates and times: the first and last day of the closure, or the hours if you are closed for part of the day. Write the day of the week as well as the date.
• Reopening: the date and time you open again, so nobody has to ask.
• Who is affected: the whole clinic, one doctor, or one service such as the lab.
• Emergency contact: a phone number, a nearby hospital or a covering doctor.
• Booked appointments: whether they will be moved, and how the patient will hear about the new time.
• Reason (optional): "Pongal holidays" or "doctor attending a conference" is reassuring, but you do not have to give a reason.
• Apology and signature: one short line of regret, and the clinic name.

How early should you tell patients?

Tell patients as soon as the date is certain, and repeat the message closer to the day. The table gives practical timings for each situation:

WhatsApp message templates for closures

Send these to patients who are booked during the closure, not to your whole contact list. A message about a patient's existing appointment is usually submitted to Meta as a utility template, but Meta decides the category when it reviews the template; festival greetings and offers are marketing. Keep the patient's name and the appointment time in the message so it is clearly about their booking.

DLT-ready SMS templates

In India every business SMS must use a template registered on your own DLT account, with {#var#} marking each variable part (up to 30 characters each). The last {#var#} is your registered sender or brand name. SMS to patients about their own appointments is a service message; promotional content needs separate consent and a promotional template.

Doctor on leave: message to patients

When one doctor is away but the clinic is open, the message should say three things: who is away and when, what happens to the patient's appointment, and whether another doctor can see them. Offer a choice: "moved to [new time]" for patients who need continuity with the same doctor, or "Dr [covering name] can see you at your usual time" for routine visits. Send it as soon as the leave is approved, and remind patients two days before. Never cancel silently; a patient who travels to the clinic and finds the doctor absent rarely books again.

Emergency closure today: what to send in the next 30 minutes

An emergency closure is the one situation where speed beats wording. In the first 30 minutes:

1. Put the emergency door notice up and change the phone greeting.
2. Pull today's appointment list and send the emergency WhatsApp template to everyone not yet seen, earliest first.
3. Call patients who have not read the WhatsApp message within 30 minutes, especially elderly patients and those travelling from far away.
4. Update your Google Business Profile hours for today.
5. When you know the reopening date, send the reopening message with new times.

Reopening notice

A reopening notice is short: the date you are open again, normal timings and how to book. Send it to patients whose visits were postponed, with their new time, and keep the door notice up for the first day back. If timings change after the break, say so in the same notice.

Do not forget Google Business Profile special hours

Many patients check opening hours on Google Maps before they travel. Add special hours for each closed date in your Google Business Profile, ideally a week ahead, and post the notice as an update. Remove nothing else: special hours apply only to the dates you set, and your regular hours return automatically.

How to reschedule every affected appointment quickly
