What is a WhatsApp appointment reminder?
A WhatsApp appointment reminder is a short, pre-approved business message sent on the official WhatsApp Business Platform before a booked visit. It tells the patient who, when and where, and asks them to confirm. Meta classifies reminders as utility templates, which cost far less than marketing messages and may be sent only to people who have opted in.
In India, WhatsApp is the channel patients already check most often, which is why a reminder there is usually read within minutes, while an SMS can sit unopened among bank alerts and OTPs. Appointment Reminder App sends the reminder from your own business name, with a verified profile where Meta grants one, not from a random number.
How do WhatsApp reminders work in Appointment Reminder App today?
You write the reminder once as a template and choose how it goes out. There are three ways, and most clinics use the first two:
- Scheduled broadcast: import or tag tomorrow's patients and schedule the reminder template for the time you choose, for example 6 pm the evening before.
- REST API: your clinic, dental or lab software calls the API for each booking at the moment you decide, so every reminder is sent automatically from your own appointment book.
- From the inbox: staff send a reminder to one patient in a couple of clicks.
Appointment Reminder App does not keep an appointment calendar yet. On the roadmap: a built-in appointment book with automatic per-booking reminder schedules, quick-reply Confirm and Reschedule buttons, automatic SMS fallback for undelivered WhatsApp messages and AI calls to patients who have not confirmed.

What does a WhatsApp reminder look like?

WhatsApp or SMS appointment reminders in India?
Use both. WhatsApp reminders are cheaper (about ₹0.13 versus ₹0.18 per SMS segment) and show delivered and read status. SMS still reaches feature phones and patients who never installed WhatsApp, which matters for older patients in smaller towns. How much do WhatsApp appointment reminders cost?
The platform fee is the Starter plan at ₹2,999 a month plus 18 % GST, and Meta's fee is passed through at cost from your wallet. As a worked example, a clinic with 1,000 appointments a month that sends one confirmation and one reminder per booking pays about 2,000 × ₹0.13 = ₹260 in Meta fees. Every opt-in and opt-out is logged with time, source and channel, as the DPDP Act 2023 expects, and a patient who replies STOP is skipped by broadcasts, API sends and payment follow-ups straight away. Usually, yes. Your number can be moved from the WhatsApp Business app to the official WhatsApp Business Platform, and we guide you through it; Meta sets the timeline. Patients keep messaging the same number, and reminders arrive from your verified business name rather than an unknown sender.
What happens if the patient does not have WhatsApp?
Send that patient an SMS reminder instead: Appointment Reminder App sends DLT SMS templates by broadcast or API at ₹0.18 per segment, so you can target patients tagged as SMS-only. Automatic SMS fallback when a WhatsApp message is undelivered is on the roadmap. On the Growth plan staff can also place an AI call.
Can the reminder include fasting or preparation instructions?
Yes. Write the preparation note, such as fasting for a blood test or bringing old X-rays, into the reminder template for that service. The AI chat agent answers follow-up questions only from text your clinic has approved, never replaces medical advice, and hands anything clinical to your staff.
How far in advance should a WhatsApp reminder be sent?
Most clinics send the main WhatsApp reminder 24 hours before the slot, which leaves time to refill a cancelled appointment, plus a short same-day reminder two to three hours before.
